Phone Forwarding Setup

Forward overflow and after-hours calls to LeadIn so you never miss a lead. Select your phone system below for step-by-step instructions.

How It Works

When a customer calls your main business number:

  1. Your phone rings first — you and your team can answer normally
  2. If no one answers — after 3-4 rings, the call forwards to LeadIn
  3. LeadIn takes over — plays a friendly message and sends an SMS to collect job details
  4. You get a job card — complete lead info appears in your Slack within minutes
💡 Best Practice
Set forwarding to trigger after 3-4 rings (15-20 seconds). This gives your team enough time to answer while ensuring callers don't wait too long.

Business Phone Systems

Select your phone system for step-by-step forwarding instructions.

RingCentral Setup

Log into RingCentral Admin Portal
Go to service.ringcentral.com and sign in with your admin credentials.

Navigate to Users
Click 'Users' in the left menu, then select the user/extension you want to configure.

Open Call Handling
Click 'Call Handling & Forwarding' tab.

Set Up Call Forwarding
Under 'Calls from', select 'All Calls' or specific rules. Under 'When', choose 'No Answer' or 'Ring for X seconds then forward'.

Enter LeadIn Number
Select 'Forward to external number' and enter your LeadIn forwarding number.

Set Ring Duration
Configure to ring for 15-20 seconds (3-4 rings) before forwarding.

Save Changes
Click 'Save' and test by calling your number and not answering.
📝 Note
If you have multiple extensions, repeat for each line that should forward to LeadIn.

Mobile Carrier Forwarding Codes

If you're forwarding from a personal or business mobile phone, use these carrier-specific codes.

Verizon

Immediate forwarding sends every call straight to Leadin — your phone never rings. To disable all forwarding, dial *73.

Example: To forward unanswered calls on Verizon, dial *72 2065551234 (replacing with your LeadIn forwarding number)

Tips for Faster Forwarding

Small things that make a big difference in how fast your customers get a response.

On a call and hear another call coming in?

Reject the incoming call immediately — don't let it ring. When you reject it, it forwards to Leadin right away instead of ringing 6+ times first. Your customer gets a text back in seconds.

Want Leadin to catch every call — even when you're available?

Use your carrier's immediate forwarding code (listed above). Every call goes straight to Leadin with no rings at all. You'll still see the job card in Slack and decide whether to call back.

Troubleshooting

Call doesn't forward — goes to regular voicemail

Double-check that you enabled 'No Answer' forwarding (not just 'Always Forward'). Verify the LeadIn number is entered correctly with country code (+1).

Forwarding happens too fast

Increase the ring time in your phone system settings. Aim for 15-20 seconds (3-4 rings) to give your team time to answer.

Forwarding works sometimes but not always

Check if you have conflicting call rules (e.g., after-hours routing). Make sure LeadIn is set as the forwarding destination for all scenarios.

Error when entering external number

Some systems require external numbers in a specific format. Try with and without the +1 country code, or with dashes (206-208-7233).
