Phone Forwarding Setup
Forward overflow and after-hours calls to LeadIn so you never miss a lead. Select your phone system below for step-by-step instructions.
How It Works
When a customer calls your main business number:
- Your phone rings first — you and your team can answer normally
- If no one answers — after 3-4 rings, the call forwards to LeadIn
- LeadIn takes over — plays a friendly message and sends an SMS to collect job details
- You get a job card — complete lead info appears in your Slack within minutes
Setup Instructions
Select your phone system:
Log into RingCentral Admin Portal
Go to service.ringcentral.com and sign in with your admin credentials.
Navigate to Phone System
Click Phone System in the left menu, then select Auto-Receptionist or Call Handling Rules.
Edit Your Main Number
Find your main business number and click Edit. Look for After Hours or Overflow Call Handling.
Set Up Call Forwarding
Under 'When unanswered' or 'After hours', select Forward to External Number. Enter your LeadIn number.
Configure Ring Duration
Set rings before forwarding to 3-4 rings (about 15-20 seconds). This gives your team time to answer before LeadIn takes over.
Save and Test
Save your changes. Call your main number and let it ring — it should forward to LeadIn after the set number of rings.
Testing Your Setup
After configuring forwarding, test it to make sure everything works:
- Call your main business number from your cell phone
- Let it ring without answering (wait for 4+ rings)
- You should hear LeadIn's greeting message
- Hang up — you'll receive an SMS to complete the test
- Reply to the SMS and check your Slack for the job card
Troubleshooting
Call doesn't forward
Double-check that you enabled "No Answer" forwarding (not just "Always Forward"). Also verify the LeadIn number is entered correctly with country code: +1 206 208 7233
Forwarding happens too fast
Increase the ring time in your phone system settings. Aim for 15-20 seconds (3-4 rings) to give your team time to answer.
No SMS received after call
Make sure you're calling from a cell phone that can receive SMS. Landlines can't receive text messages. Also check your spam/blocked messages folder.
